Hosting of Students from Greek Community Schools in the UK at the Summer Camps of the Ministry of Education, Sport, and Youth of Cyprus (YPAN)

To: Greek Community Schools

ANNOUNCEMENT

The Cyprus Educational Mission is pleased to announce that the Ministry of Education, Sport, and Youth (YPAN) of Cyprus will host 18 children and two chaperones from the Cyprus Educational Mission (KEA) of the UK as part of the “Hosting of Overseas Students” programme.

The summer camp will run from 28 July 2025 to 6 August 2025.

Each participant must cover the cost of flights, personal expenses, and any additional excursion fees (such as transport and meals during trips).

Hosting Arrangements

  1. Arrival: Participants must arrive on or after 28 July 2025 at Larnaca or Paphos International Airport.
  2. Departure: Participants must leave on or before 6 August 2025 from Larnaca or Paphos International Airport.
  3. Accommodation: Students and chaperones will stay at the YPAN camp in Prodromos, a mountain village in the Troodos range.
  4. Participants: The camp will accept up to 18 children, aged 10-12 years. Since the dormitories have 12 beds, the camp will provide one dormitory for boys and one for girls.
  5. Chaperones: The programme allows up to two chaperones, one of whom must serve as the group leader. The leader will work closely with the camp leader or another representative to ensure a smooth and enjoyable stay. The chaperone responsibilities are detailed in Appendix D. The camp will accommodate chaperones in small twin or four-bed rooms, near the children’s dormitories.
  6. Transport: A small tourist coach will provide transfers between the camp and Larnaca or Paphos Airport.
  7. Meals: The camp will provide three meals a day (breakfast, lunch, and dinner).
  8. Activities:
    • Two full-day excursions to different cities in Cyprus (Nicosia, Limassol, or Paphos) will take place, with return to camp by 16:30.
    • One half-day excursion to a nearby destination will be included.
    • Students will take part in visits to local attractions, guided walks in the Troodos National Forest, and other organised activities.
    • The camp will also host other children from Cyprus, encouraging social interaction and cultural exchange.

Health and Safety

  1. A Health Visitor from the Ministry of Health will be present at the camp 24/7. If a participant requires medical attention, the camp will arrange transport to a health centre or hospital. Any medical costs, including treatment and hospitalisation fees, will be the participant’s responsibility, in line with local laws.

    • Each participant must have valid health insurance for the entire stay.
  2. Parents must complete the YPAN DDE YK G01 form, which serves as the Health Note, to inform the camp’s health team about any medical needs.

  3. The group leader must be aware of any serious health conditions or medications required by students (including doctor’s instructions, dosage, and frequency). Upon arrival, the leader must inform both the camp’s health visitor and the camp leader.

  4. Parents can access the YPAN DDE YK G01 form and other required documents at:
